POSITION SUMMARY: This position assists the Grants Manager with grants related functions, including maintaining grant records; communicating with prospective grant applicants and current grantees; and providing research and administrative support to Grants Manager and grants program team. A successful candidate will possess strong project management, organization and tracking skills, with proven ability to work independently but collaboratively in a team environment.
 
DUTIES AND RESPONSIBILITIES:
  • Perform database maintenance, including consolidating duplication's, entering new contacts and new organizations.
  • Maintains detailed records and files of all grant related materials.
  • Scan and upload meeting and/or organization notes to appropriate electronic grant file or request.
  • Research, analyze, and collect new grantee information through community and organizational data (including Guide-star and IRS Exempt Organization tool) to determine eligibility and present to Grants Manager for review.
  • Troubleshoot issues and problems with grant submissions and reporting.
  • Assist with tracking grant receipts and grant agreements, including follow up with organizations that have not returned paperwork.
  • Coordinate with Grants Manager on payment schedules.
  • Scan and upload monthly signed grant receipts and grant agreements.
  • Assist with monthly check mailings to grantees and process incoming and outgoing mail.
  • Work with manager to collect and/or generate supporting documentation for grant proposals.
  • Uphold professional demeanor, personal integrity, discretion and respect for confidential Foundation-related and Wege family-related information.
  • Assist with contacting organizations with overdue requirements.
  • Edit award letters and overdue requirement letters as necessary.
  • Supports Grants Manager in preparation of meeting materials.
  • Complete minutes for Grants Review Committee meetings.
  • Coordinate office supply inventory and purchasing.
  • Provide additional support as needed to Foundation Staff and Board of Trustees and Next Generation members as requested.
  • Other projects as assigned.
 
QUALIFICATIONS:
  • Bachelor’s degree preferred, but other relevant degrees or experience will be considered.
  • 1-year experience of secretarial/office experience required.
  • Strong computer skills including effective use of GIFTS Online (or similar database system) and of Microsoft Suite programs (e.g. Excel, Word, PowerPoint, Planner) required.
  • Experience with analyzing large amounts of information with high attention to detail is preferred.
  • Non-profit or foundation experience is preferred.
  • Demonstrated ability to work effectively with a variety of individuals and organizations, including leaders from not-for-profit organizations, government agency, businesses, academia and civic organizations.

  • Strong speaking and written communication skills.
  • Self-starter with high attention to detail, strong analytical, time management and problem-solving skills.
  • Ability to use standard ergonomics practices and to use common office equipment such as laptop computers, monitors, printers, copiers, scanners, videoconferencing, VOIP telephone and fax machines.
 
WORKING CONDITIONS AND COMPENSATION:
  • Typical office environment, which is generally sedentary in nature.
  • Duties occasionally require attendance at events, conferences and meetings outside of normal business hours, including occasional multi-day travel outside of Grand Rapids metropolitan area.
